At Southern Impact Events, we understand that plans can change. We strive to be as fair and transparent as possible while also honoring the time and resources invested into planning your event. The following policy outlines how cancellations, refunds, and rescheduling requests are handled.
1. Retainer Payments

All services require a non-refundable retainer to secure your event date.

The retainer covers initial planning, administrative work, and the reservation of your date.

Because your date is held exclusively for you, retainers are not refundable under any circumstance, including cancellations, date changes, or reductions in service level.
2. Cancellation by the Client
If you choose to cancel your planning services:
2.1 Cancellation Before Planning Begins
If no planning work has been completed beyond the initial consultation:

Only the retainer remains non-refundable.

No additional refunds apply.
2.2 Cancellation After Planning Has Begun
Once planning work has started (vendor communication, timelines, design boards, meetings, site visits, etc.):

Payments made beyond the retainer may be partially refundable.

Refunds are calculated based on:

Work already completed
-
Time invested
-
Services rendered up to the cancellation date

Southern Impact Events reserves the right to retain a portion of paid fees to compensate for completed work.
2.3 Cancellation Within 60 Days of the Event
Due to high demand and the intensive nature of final-stage planning:

No refunds are issued for cancellations made within 60 days of the event date.
3. Rescheduling & Date Changes
Life happens, and we will do our best to accommodate.
3.1 Client-Requested Date Changes

Date changes are subject to availability.

If your new date is available:

Your payment transfers to the new date.
-
A rescheduling fee may apply depending on workload already completed.

If your new date is not available:
-
The request will be treated as a cancellation.

Refunds follow the cancellation policy above.

3.2 Rescheduling Due to Venue Changes
If your venue changes your date due to internal issues or emergencies:

We will work to adjust with you.
-
However, if we are unavailable for the new date, the cancellation policy applies.

4. Cancellation by Southern Impact Events
In the extremely rare event we must cancel due to illness, emergencies, or circumstances beyond our control:

You will receive a refund of all payments made, excluding non-recoverable expenses already incurred on your behalf.

We will make every reasonable effort to secure a comparable replacement planner from our trusted network.

Southern Impact Events limits liability to the total amount paid for planning services.

5. Vendor Payments
Southern Impact Events is not responsible for refund practices of venues or vendors.

Vendor retainers and payments are governed by their independent contracts.

If a cancellation occurs, you must coordinate directly with each vendor regarding their refund policies.

6. Failure to Pay
If payment deadlines are missed:

Services may be suspended until payment is made.

Southern Impact Events may cancel your contract for non-payment.

Payments already made will not be refunded.
-
7. Force Majeure
Events outside human control—including natural disasters, pandemics, riots, government shutdowns, or emergencies—may impact your event.
In these cases:

Refunds are not guaranteed.
-
We will work with you to reschedule if possible.

Policies may adapt based on government or venue limitations.
8. How to Request a Cancellation or Refund
All cancellation or refund requests must be submitted in writing to:

Please allow 10–14 business days for review and response.
9. Policy Agreement
By booking services with Southern Impact Events, you acknowledge that you have read, understood, and agree to this Refund & Cancellation Policy.
